ASG Funding Timelines
Each school year, about $240,000 of student fee money will be allocated to Registered Student Organizations through Associated Student Government. The Associated Student Government (ASG) Senate elects, from its members, an Appropriations Committee to allocate the funds dedicated to Registered Student Organizations (RSOs). The ASG Appropriations Committee reviews applications, conducts interviews referred to as “dialogue events,” and decides what events to fund. Below you will find a packet designed to explain how to apply for and spend the money that your RSO was allocated by ASG.
There are three times each academic year when funding will take place. The first round is in October/November. This round is for allocations to be used in the Spring Semester. The second round takes place in February and allocations from this round are to be used in the spring semester. The final round takes place in March and the allocations from this round are to be used in the Fall Semester.
The Office for Student Involvement and Leadership (SIL) is responsible for handling all ASG Funded Transactions. This means, that the SIL Office handles all the paperwork for the Funded Activities of the RSOs. If you should have any question regarding paperwork, transfers of money, RSO checking accounts, or any other procedural question please stop by the SIL Office.
The Budget Process
Funding Guidelines
In order to apply for funding groups must meet these minimum requirements.
- RSOs must be registered with the Office for Student Involvement and Leadership
- RSOs must not knowingly present false documents or information to ASG
- RSOs governing board or equivalent must consist of at least 3/4 students.
- RSOs must not receive funding from other University of Arkansas fees, sporting events, living group, or living group organization.
The Process
- Attend one of the mandatory How to Apply for Funding meetings.
- Download the Example Budget from the ASG Website.
- Use Microsoft® Excel to edit the Example Budget.
- Maintain the two-column format. All of your content should be in columns A and B of the Excel Spreadsheet.
- Column A is for text: describe here what you want funded, and if you choose to include them, this is where the cost-per-item figures should be placed.
- Column B is for numerals: give here the total cost for each item placed in Column A. No text should appear in this column.
- Maintain the three-category format as well: Administrative, Conferences & Registration, and Special Events
- Administrative costs are those that can be used multiple times. Office supplies, T-shirts, and other things that a group has that will be used multiple times should be placed here. Administrative costs are capped at $500.
- Conferences & Registration should contain only the registration costs for conferences your group wishes to attend. Registration forms must be submitted for each requested conference.
- Conference forms must include the location of the conference, the dates during which the conference will be held, and the date that payment is due.
- Conference costs are capped at $1000 per academic year.
- Special Events will be everything else your group wishes to request: recruitment meetings, guest speakers, etc.
- The Example Budget uses summation formulas to provide totals for events and categories of spending. If you are comfortable using them by all means do, but it is not required.
- When finished editing the Example Budget, save it with your RSO’s name as the title.
- Submit your finished budget by emailing the excel spreadsheet to the email address asgrso@uark.edu before the deadline set by the ASG Treasurer. Be sure to provide registration forms for all conferences, either in the email or by submitting paper copies to the ASG office.
- IF YOU ASK FOR $1000 OR MORE, YOU MUST SIGN UP FOR AN INTERVIEW BEFORE THE ASG APPROPRIATIONS COMMITTEE.
- The sign-up sheet can be found in the ASG office on the day budgets are due. The sheet will be out only for that day.
- It is the responsibility of the RSO to sign up for an interview. You must arrange the time, not the ASG Treasurer.
- Attend the interview as scheduled.
